Export Outlook emails to PDF

Lawyers, accountants and anyone handing emails to someone else often need them as PDF. Outlook can do it one message at a time; for a folder or a whole archive you need another route.

One message in Outlook (Windows)

Open the message › File › Print › choose Microsoft Print to PDF › Print. On Mac: File › Print › PDF › Save as PDF. Attachments are not included – save them separately.

Many messages without Outlook

  1. Open the PST, OST, MSG, EML or MBOX file in Letterlark.
  2. Search or filter (date, folder, sender, has attachments) and tick the messages you need.
  3. Choose PDF. All selected messages are laid out one per page, with From, To, Cc, Date and attachment names in a header, and the browser's print dialog opens.
  4. Choose “Save as PDF”.

Use Attachments export to get all attachments of the selected messages as one .zip alongside the PDF.

Things to check

  • Remote images in emails are not loaded (privacy), so newsletters may show empty boxes. Embedded/inline images are shown.
  • Page layout depends on the browser's print engine and can differ slightly between Chrome, Firefox and Safari.
  • Hebrew, Arabic and other right-to-left messages are laid out right-to-left.
  • The free version exports up to 20 messages at a time.

Need one PDF per email?

Letterlark puts the selected messages in one print job. For a separate PDF per message, export each message on its own, or export EML files and convert them individually.

Open your mail file now. Letterlark opens PST, OST, MSG, EML and MBOX files in Chrome, Edge, Firefox or Safari on Windows, Mac, Linux or Chromebook. Files are read on your computer – the app page cannot upload anything. Viewing and search are free without limit; exports (PDF, EML, MBOX, CSV, attachments) are free up to 20 messages at a time. A one-time license is $19 (Personal) or $49 (Pro, business use).

Questions and answers

Can I convert a PST to PDF online?

Online converters usually upload the whole mailbox. Letterlark processes it in your browser instead.

Are attachments embedded in the PDF?

No. Attachment names are listed in the header; export the attachments as a .zip.
